Bid Stack is an estimating and project documentation app for contractors, estimators, repair professionals, and service businesses. The App helps users create estimates, manage customers, capture project photos, create PDF estimates, schedule appointments, and save room scans, floor plans, measurements, and 3D room models.

2. Information We Collect or Process

Depending on how you use the App, we may collect, store, or process the following categories of information.

Customer and Contact Information

When you create, edit, or import customer records, the App may store:

  • Customer names
  • Business names
  • Phone numbers
  • Email addresses
  • Physical addresses
  • Job-site addresses
  • Notes related to the customer or project
  • Customer estimate history

If you choose to import a contact from your device address book, the App accesses Contacts only after you grant permission and only to let you select and import the contact information you choose.

The App may store:

  • Job descriptions
  • Materials
  • Labor items
  • Equipment items
  • Subcontractor items
  • Quantities
  • Unit prices
  • Markups
  • Taxes

Photos and Camera Content

If you take or import photos, the App may process and store project photos, repair photos, job-site images, and other images you attach to an estimate or customer record.

AR, LiDAR, Room Scans, Floor Plans, Measurements, and 3D Models

If you use room scanning, floor-plan, measurement, AR, or LiDAR features, the App may process and store:

  • Room scans
  • Captured room geometry
  • Floor plans
  • Measured dimensions
  • Wall, opening, and surface measurements
  • Room metadata
  • 3D model files, including USDZ files
  • Exported scan data, including JSON or other project files
  • Notes connected to scans, measurements, or floor plans

Room scans and 3D models may reveal details about the interior layout, dimensions, contents, or condition of a property. You are responsible for obtaining permission before scanning, photographing, measuring, or modeling any property or space.

Calendar and Appointment Information

If you create appointments or reminders, the App may request access to your calendar to create events for site visits, inspections, walkthroughs, follow-ups, and estimate-related reminders.

Calendar events may include:

  • Customer name
  • Project name
  • Site address
  • Appointment date and time
  • Notes
  • Reminder settings

AI Photo Analysis Information

If AI photo analysis is enabled, selected project photos and related notes may be sent to the App’s backend service to generate draft repair suggestions, scope descriptions, and estimate line items.

AI-generated outputs may include:

  • Suggested repairs
  • Draft scope descriptions
  • Suggested categories
  • Confidence labels
  • Draft labor costs
  • Draft material costs
  • Draft estimate items

AI-generated suggestions are for drafting assistance only and should be reviewed, edited, and approved by the user before being used in an estimate or sent to a customer.

Device, Settings, and Technical Information

The App may store or process:

  • App preferences
  • Saved settings
  • Local database records
  • Exported files
  • PDF files
  • Error or diagnostic information, if diagnostics are enabled in a future version

The current intended version does not use third-party advertising trackers and does not sell personal information.

3. How We Use Information

We use information to:

  • Create and manage customer records
  • Import selected contacts with your permission
  • Create, edit, and save estimates
  • Generate customer-facing PDF estimates
  • Save project photos and visual records
  • Create and save room scans, floor plans, measurements, and 3D models
  • Attach scans, photos, models, and files to customers or estimates
  • Schedule appointments and reminders
  • Provide AI-assisted draft repair suggestions, if enabled
  • Improve the speed and organization of the estimating workflow
  • Provide customer support
  • Maintain app functionality and troubleshoot issues
  • Comply with legal obligations

4. Local Storage and Backend Processing

Many App features are intended to store data locally on your device. This may include customers, estimates, price book items, appointments, photos, PDFs, room scans, floor plans, measurements, and 3D model files.

If you use optional backend-powered features, such as AI photo analysis, selected data may be transmitted to backend services for processing.

You should keep backups of important business records, estimates, project files, and customer information. We are not responsible for loss of locally stored data caused by device loss, deletion, app removal, operating system changes, or user error.

5. Third-Party Services

The App may use third-party services to provide certain features.

Apple Services

The App may use Apple system frameworks and services, including Contacts, Calendar, Camera, Photo Library, ARKit, RoomPlan, Quick Look, local file storage, PDF generation, and sharing tools, depending on the features you use and permissions you grant.

OpenAI

If AI photo analysis is enabled, selected photos and project notes may be sent through our backend to OpenAI for processing. This is used to generate draft repair suggestions and estimate-related text.

Cloudflare

The App may use a Cloudflare Worker or similar backend service to route AI requests, protect API keys, and provide backend functionality.

Future Service Providers

If we add analytics, crash reporting, cloud sync, subscriptions, payment processing, or account features later, we will update this Privacy Policy and applicable App Store privacy disclosures.

6. How We Share Information

We do not sell your personal information.

We do not use customer information, contacts, project photos, scans, floor plans, 3D models, or estimate data for third-party advertising.

We may share information only as needed to:

  • Provide requested App functionality
  • Process AI photo analysis requests, if enabled
  • Operate backend infrastructure
  • Comply with law, regulation, legal process, or government request
  • Protect our rights, users, customers, property, safety, or the public
  • Respond to support requests you initiate
  • Transfer information in connection with a merger, acquisition, financing, or sale of assets, subject to appropriate protections

7. App Permissions

The App may request permissions for the following device features.

Contacts

Used to let you select and import customer information from your address book.

Camera

Used to take project photos, repair photos, job-site photos, and AR/room scan captures.

Photo Library

Used to import project photos or save/export project-related files, if you choose to do so.

Calendar

Used to create appointments, site visits, inspections, walkthroughs, follow-ups, and reminders that you request.

AR and LiDAR Features

Used to scan rooms, detect room geometry, create floor plans, measure spaces, and create 3D models on supported devices.

You can manage or revoke permissions through your device settings. Some features may not work without the necessary permission or supported hardware.

8. Your Choices and Controls

You may:

  • Choose not to grant Contacts, Camera, Photo Library, Calendar, or AR-related permissions
  • Enter customer details manually instead of importing contacts
  • Avoid AI photo analysis if you do not want selected photos or notes sent to backend services
  • Delete customer, estimate, scan, photo, or project records where the App supports deletion
  • Delete exported PDFs, USDZ files, JSON files, or other files from your device
  • Revoke permissions in iOS Settings
  • Contact us for privacy questions or support

9. Data Retention

Locally stored data generally remains on your device until you delete it, delete related records, or uninstall the App.

Backend-processed data, if any, is retained only as long as reasonably necessary to provide the feature, troubleshoot issues, comply with legal obligations, resolve disputes, or enforce agreements, unless a longer retention period is required or permitted by law.

10. Security

We use reasonable technical and organizational safeguards designed to protect information. However, no method of transmission, processing, or storage is completely secure. We cannot guarantee absolute security.

You are responsible for securing your device, using device passcodes or biometric protection, and controlling access to exported PDFs, scans, models, and customer records.

11. Sensitive Property Information

Photos, room scans, floor plans, measurements, and 3D models may reveal sensitive information about a home, business, or job site. You should not scan, photograph, upload, share, or export property information unless you have the right and permission to do so.

12. Children’s Privacy

The App is intended for business and professional use. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13.

13. International Users

If you use the App outside the United States, your information may be processed in the United States or other countries where we or our service providers operate. Privacy laws may differ from those in your jurisdiction.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If changes are material, we may notify users through the App, App Store listing, website, or other reasonable means.
